NexPOS Operations Manual

Version 1 · September 2026

How to run your NexPOS till

Two halves of the same system: the register your staff use at the counter, and the back office where you set up your products, prices and stores. This manual walks through each one screen by screen, with the screens as they actually appear.

Part 1 · NexPOS App

Android register app

  1. 1.1Signing inWhat you do the first time you pick up the till: sign in, make sure you are on the right store, and set the language.
  2. 1.2Device setupSupervisor settings: how this till looks, what it prints on, and how it talks to the card reader and the kitchen.
  3. 1.3The main screenThe one screen you spend the whole shift on. Learn where things are before your first customer.
  4. 1.4Building a saleGetting items into the cart — by tapping, searching, scanning, weighing, or keying an amount.
  5. 1.5Members and discountsAttaching a customer to the sale, signing up a new one, and taking money off the whole order.
  6. 1.6Taking paymentThe payment screen, and what happens with each way a customer can pay.
  7. 1.7Receipts and printingWhere receipts and kitchen tickets come from, and what the red bars mean when one does not print.
  8. 1.8Holding a salePark a customer who has gone back for one more thing, serve the next person, then pick the sale back up.
  9. 1.9Table serviceRunning an open tab against a table: seating, adding rounds, fixing an order, settling up and voiding.
  10. 1.10Orders and refundsLooking up what has been sold today, and putting money back when a customer returns something.
  11. 1.11Delivery ordersOrders that arrive from delivery channels rather than from the counter, and the three taps that move each one along.
  12. 1.12Shift and cash-upWhat the person opening and closing the till does: float in, cash movements during the day, count down and read the variance.
  13. 1.13Working offlineWhat changes when the till loses its connection, and how to get the sales back up afterwards.
  14. 1.14Device modesTurning a device into an unattended self-order kiosk or a queue-number station, set up under General settings → Mode change.

Part 2 · Merchant Admin

Back office for store owners

  1. 2.1Signing inHow an owner or a store manager opens the NexPOS back office, and how the screen is laid out once you are in.
  2. 2.2BranchesOwner task. Every product, price, stock figure and table plan belongs to a branch, so create your branches before you load any data.
  3. 2.3Branch loginsOwner task. A branch login is how a store manager gets into the back office and the POS app without seeing your other branches.
  4. 2.4Store detailsPer-branch task. This page carries the name, address and trading switches customers see on your e-shop.
  5. 2.5Payment setupOwner task, done once. System settings separates connecting an account from offering it as a payment method, and you must do them in that order.
  6. 2.6SuppliersSuppliers you add here are the ones staff can pick from when they raise a purchase in the POS app.
  7. 2.7CategoriesCategories group products for the cashier's product grid and for your category reports. They are shared by every branch.
  8. 2.8ProductsThe product list is where you set prices, control what appears in store and online, and keep the catalogue tidy. Products belong to one branch.
  9. 2.9Merge packagingIf you loaded the same drink as separate single, 6-pack and case products, this folds them into one product with units — so you count one stock and sell any size. It is a one-off clean-up you choose to run; nothing merges on its own.
  10. 2.10Importing productsThe fastest way to load a catalogue from another POS or a spreadsheet. You do not have to reformat the file first.
  11. 2.11Stock controlReceive deliveries, write off waste and run counts, and see every movement that changed a stock figure.
  12. 2.12Tables and areasPer-branch task for table service. Areas are the zones of the room; tables sit inside them and are what the cashier taps when opening a tab.
  13. 2.13Dine-in orderingPer-branch task for table service. Each table gets a QR code; a guest scans it to order to their table from their own phone, and the order lands straight on that table's tab on the register.
  14. 2.14Reservations and waitlistPer-branch task for table service. Guests book a table ahead on your e-shop; walk-ins waiting for a table go on the waitlist. Both are managed from this one page.
  15. 2.15Discounts and surchargesPer-branch task. These are whole-order adjustments the cashier can apply at checkout — a staff discount, a card surcharge.
  16. 2.16CouponsMerchant-wide task. A coupon is a code your customer types at the e-shop checkout. You fund it — the discount comes off before payment, so you receive less at settlement.
  17. 2.17Local OffersPer-branch task. Offers put surplus stock or a quiet-hours deal in front of nearby customers. They go through platform review before they appear.
  18. 2.18MembersMerchant-wide task. Members carry a discount, a stored-value balance and points across every branch.
  19. 2.19Member pointsMerchant-wide task. Decide how fast members earn points and what those points are worth. Find these under Members → Member setting.
  20. 2.20Sticker bookMerchant-wide task. The sticker book is how store points look to a customer on their tap-card page — one point earns one sticker by default. This is pure presentation; it does not change the earn rate.
  21. 2.21AllianceMerchant-wide task, only for stores the platform has placed in an alliance (a shared loyalty circle). Members of the alliance earn shared points across every member store. Find this under Members → My alliance.
  22. 2.22Alliance walletMerchant-wide view for the alliance manager. When members top up their wallet at any member store, that money settles to you — you hold the float and owe each store for what members spend there. This page is a live summary of all of that. Find it under Members → Alliance wallet.
  23. 2.23Gift cardsMerchant-wide task for alliance stores. You fund a float from your own balance, register blank cards, then sell each one by setting its PIN and loading value. Find this under Members → Gift card issuance.
  24. 2.24Daily dashboardThe first screen after you sign in, and enough to answer "how did we do and what needs attention".
  25. 2.25In-store ordersEvery sale taken at the register. You cannot ring up a sale here — this is where you look one up, take payment on an open one, refund it or void it.
  26. 2.26Online ordersOrders customers placed in your e-shop. They carry delivery details, a payment state and a settlement state that in-store orders do not have.
  27. 2.27ReportsEight views over the same period, each exportable. Set the period and the store once at the top; every tab follows it.
  28. 2.28Accounting syncOwner task. Paid orders can be posted to your own accounting system as tax invoices so you are not re-keying takings.
